The strata council software checklist

Council members are volunteers with a fiduciary duty and a day job. This checklist turns a vendor demo into twenty-five yes-or-no answers, grouped by what the council is actually responsible for.

Governance and records

  • Council motions and decisions can be recorded between meetings with the vote.
  • Minutes are drafted from the period's real activity and distributed within the two-week rule.
  • AGM and SGM notices carry the required lead time and package.
  • Bylaws, rules, amendments and the depreciation report live in one vault with versions.
  • Owners can request records and receive them within the s.36 timelines.

Enforcement

  • Every complaint becomes a numbered file with the bylaw cited.
  • The s.135 steps are enforced by the software, not by memory.
  • Letters go to the registered owner and never name the complainant.
  • Fines are recorded and billed correctly, never invented on a resident ledger.
  • Council can print the whole file for the CRT.

Money

  • Portal payments settle directly into the strata's own bank account.
  • Refunds are issued against the original charge with the reason recorded.
  • Owners see the balance sheet and budget; council sees budget versus actual and arrears.
  • Form B and Form F are generated from the live ledger.
  • Payouts reconcile to bank deposits in a report.

Maintenance and capital

  • Work orders are numbered and assigned to a named technician.
  • Recurring and preventative work generates itself.
  • Contractor visits are logged with times and compared to invoices.
  • The asset register carries verified conditions and real quotes.
  • The capital forecast feeds the budget and the depreciation report.

Communications, security and terms

  • Every notice is previewed exactly and delivery is tracked.
  • Access is invitation-only with passkeys or two-factor available.
  • Data is isolated per property at the database and hosted in Canada.
  • Pricing is per door with nothing metered, and the term and minimum are clear.
  • Data exports in standard formats on request, and backups are automatic.

Can we print this checklist?

Yes — print this page; it is laid out for paper.

What if a vendor answers 'roadmap'?

Write down the date they commit to and put it in the agreement. AryaPM publishes its roadmap items on the home page for the same reason.
